QuickBooks Online
Full ERP migration — chart of accounts, master data, multi-currency opening balances, reconciliation
The Challenge
The client operated on a SAP-based general ledger with a complex account structure, multiple currencies, and no clean sub-ledger audit trail. An approaching digital compliance deadline required a cloud-native, API-ready invoicing platform. The cost of building a compliance-ready middleware layer on the existing SAP infrastructure was commercially prohibitive for a business of their size. The decision was made to migrate to QuickBooks Online.
The Complexity
The SAP general ledger extract contained missing customer and supplier sub-ledger codes — a critical data gap that had to be identified and resolved before any migration script could post correctly to Accounts Receivable and Accounts Payable in QuickBooks Online. Multi-currency opening balances required FX revaluation and reconciliation across four currencies. The chart of accounts required full restructuring to fit cleanly within QuickBooks Online's account framework.
What We Delivered
- •Full chart of accounts restructuring and mapping to QuickBooks Online structure
- •Customer and supplier master data migration with sub-ledger reconciliation
- •Multi-currency opening balance migration with FX revaluation across four currencies
- •Python-based API migration script for structured data transfer
- •Complete general ledger reconciliation confirming accuracy before go-live
- •Post-migration reconciliation report handed over to the client's finance team
The Result
Scope 1 was formally accepted by the client's finance team following parallel testing and reconciliation sign-off. The business is now operating on QuickBooks Online — cloud-native, audit-ready, and technically structured for compliance integration through their chosen approved provider. Scope 2, covering automated historical transaction migration via API, followed on from the Scope 1 acceptance.
